OUR USE OF AI TOOLS
Last updated: 26/10/26
Like many businesses, the WHO2 group uses artificial intelligence (AI) tools in our day-to-day work. This statement explains, in plain terms, how we use them and how we look after the information involved.
1. Who this statement applies to
This statement applies to WHO2 Holdings Ltd and the companies it owns or controls (“the WHO2 group”, “we” or “us”). Our group companies may refer to it from their own privacy notices.
2. Why we use AI tools
We use AI tools to help our team work more efficiently, for example drafting and summarising, organising information, and helping set up and maintain our platforms and services.
3. The tools we use
We use business versions of established, widely used AI tools from reputable providers, set up under accounts registered to and controlled by our business. We do not name individual providers in this statement, as the tools we use may change over time.
4. How we protect information
Our AI tools are set up so that our information is not used to train the providers’ AI models.
Access is limited to our team, through our own business accounts.
The same confidentiality and data protection obligations apply to our use of AI tools as to all of our work.
5. People stay in control
AI tools help our people, but they do not replace them. Our team reviews, and remains responsible for, anything AI tools help us produce.
6. Where information is processed
Some AI providers are based outside the UK, so information may be processed outside the UK. Where it is, it must be protected by the safeguards that UK data protection law requires.
7. Your rights and questions
How each WHO2 group company uses personal information, your rights, and how to contact us, are set out in that company’s privacy notice.
8. Changes to this statement
We review this statement from time to time and will update it, and the date at the top, if the way we use AI tools changes.
